Google Docs shines when several people work on one document: no email attachments, no “final_v4”, everyone in the same file. The basics mirror Word, so this lesson focuses on what makes Docs different and useful.
Structure with headings
Use Format › Paragraph styles or the style drop-down (Normal text, Heading 1, 2, 3), or Ctrl+Alt+1/2/3. Headings build the document outline on the left (View › Show outline) and the table of contents (Insert › Table of contents).
Suggesting mode = Track Changes
Top-right pencil menu: Editing, Suggesting, Viewing. In Suggesting, edits appear as coloured suggestions the owner accepts (✓) or rejects (✗). Give reviewers Commenter access and they can only suggest and comment.
Comments and assignments
Select text › Ctrl+Alt+M. Type [email protected] to mention someone and tick Assign to: they get an email and it shows in their Drive as an action item. Resolve when done; history stays under the comments icon.
Useful extras
- Voice typing: Tools › Voice typing (Chrome), including Hindi and other Indian languages.
- Templates: File › New › From template gallery; your organisation can add its own letterheads.
- Compare documents: Tools › Compare documents.
- Explore and spelling/grammar: Tools menu.
- Pageless format: File › Page setup › Pageless for web-style documents without page breaks.
Export
File › Download: Word (.docx), PDF, plain text, EPUB. Check Word exports for layout shifts; complex tables and fonts may move. File › Email › Email this file sends it as an attachment in any of those formats.
Where beginners go wrong
| Habit | Better |
|---|---|
| Downloading, editing in Word, re-uploading | Edit in Docs; everyone stays on one version |
| Editing others’ text directly | Suggesting mode |
| Long comment threads that never close | Assign, then resolve |
Practice
Download the practice file below and upload it to Google Drive (File › Import in Sheets). For this lesson, create a new Google Doc and practise headings, suggestions and comments; the sheet is used in other lessons.
