Nobody likes writing minutes. With a transcript or even rough notes, AI produces a summary, decisions and an action list in seconds.

Get the raw material

  • Teams and Zoom can record and transcribe (with Copilot or AI companion, they summarise directly).
  • Or type rough bullet notes during the meeting; that’s enough.

The prompt

“`text
From the notes below, produce:
1) a 3-line summary
2) decisions made
3) action items as a table: task, owner, due date
4) open questions
Use only what’s in the notes; write “not stated” if an owner or date is missing.
“`

“Use only what’s in the notes” stops it inventing owners and dates.

Follow-up

“Draft a short follow-up email to attendees with the action table.” Send within the hour, while everyone remembers.

💡 Paste the action table into Planner, To Do or an Excel tracker so tasks don’t stay buried in an email.
⚠️ Tell participants before recording or transcribing, follow your company’s policy, and keep transcripts of sensitive meetings (HR, legal, pricing) out of consumer AI tools.

Practice

Use the prompt on notes from your last meeting (anonymised).
