The biggest risk with AI at work isn’t a bad answer; it’s pasting something that should never leave the company. A few simple rules prevent most problems.
Never paste into unapproved tools
- Passwords, API keys, access tokens.
- Personal data: PAN, Aadhaar, bank details, salaries, health or HR information.
- Customer lists, pricing, contracts, unreleased financial results.
- Anything marked confidential.
Approved vs consumer tools
Enterprise plans (Microsoft 365 Copilot, ChatGPT Enterprise/Team, Gemini for Workspace, Claude for Work) contractually don’t train on your data and are managed by IT. Free consumer accounts may store and review conversations. Ask IT which tools are approved.
Anonymise
Replace names and numbers with placeholders (Customer A, ₹X) before asking. The formula, structure or wording you get back works just the same.
Other risks
- Law: India’s Digital Personal Data Protection (DPDP) Act sets duties for handling personal data; uploading it to third-party tools can breach them.
- Copyright: don’t present AI output as original creative work without review; check licences for images.
- Bias: AI can reflect biases in decisions about people; keep humans accountable.
