Most people scroll or browse folders to find an old email. Outlook search, used properly, finds it in two seconds, which is why you don’t need dozens of folders.
Search operators
Click the search box (Ctrl+E) and type:

The Search tab
Clicking the search box opens a Search ribbon (classic) or filter options (new Outlook): buttons for From, Subject, Has Attachments, Categorized, This Week, Flagged, and the scope.
Scope
Search defaults to the current folder or the whole mailbox depending on settings. Switch to All Mailboxes or All Outlook Items when you can’t find something. Archives and shared mailboxes may need to be included explicitly.
Search Folders (classic Outlook)
A Search Folder is a saved search that looks like a folder: Folder › New Search Folder › “Unread mail”, “Mail flagged for follow up”, “Large mail”, or a custom one like “All mail from Sharma Traders”. Mail stays where it is; the folder just shows it.
When search misses things
- Classic Outlook may be set to keep only 1 year of mail offline: Account Settings › Change › Mail to keep offline. Click “More” at the bottom of results to search the server.
- If results are clearly incomplete, rebuild the Windows search index (Control Panel › Indexing Options › Advanced › Rebuild).
