Colour what matters

Classic Outlook: View > View Settings > Conditional Formatting > Add. Name “Boss”, Font: bold red, Condition: From = your manager. Add “Sent only to me” in blue (Condition > Where I am: the only person on the To line).

Useful columns and grouping

  • View Settings > Columns: add Size, Categories, Attachment.
  • Arrange by Conversation for long threads; by From to see who is filling your inbox.
  • Save it: View > Change View > Save Current View as a New View, and apply it to other folders.
💡 View > Reset View fixes a folder that suddenly looks strange after an accidental drag of a column.

The new Outlook has fewer view options; use Focused Inbox, categories and filters (Filter > Has files, Mentions me) instead.

Practice

Create the two formatting rules and save a custom view called “My triage”.
