Renewals, document submissions, payment follow-ups: if they live in an Excel list, Power Automate can email people before they’re due.

Prepare the Excel file

Store it on OneDrive/SharePoint and format the list as a Table (Ctrl+T) named Reminders, with Name, Email, Item, DueDate and Status columns. Flows can only read tables.

Build the flow

  1. Scheduled cloud flow, daily at 9:00.
  2. List rows present in a table; set Filter Query Status eq 'Open'.
  3. Apply to each row with a Condition: due within 3 days.
  4. Send an email (V2) to the row’s Email with the item and due date.
  5. Update a row (key column: a unique ID) to set Status = Reminded.
⚠️ Excel stores dates as serial numbers; the connector may return 46299 instead of a date. Either store due dates as text yyyy-mm-dd, or set the action’s DateTime Format to ISO 8601.

Where people go wrong
