Most SAP work is running reports. Variants and a few selection-screen tricks turn a 2-minute setup into a single click.

Selection screens

  • From/To fields give ranges; leave To empty for a single value.
  • The yellow arrow (multiple selection) lets you paste a list from Excel, add ranges and exclude values.
  • Right-click a field › Options for “greater than”, “contains pattern” (*).

Variants

Fill the screen once, then Goto › Variants › Save as Variant. Name it clearly (e.g. ZOPEN_NORTH) and add a description. Next time: the “Get variant” button.

In the variant attributes, use selection variables type D (dynamic date) so “last month” or “today” updates automatically instead of a fixed date.

Background jobs

For big reports: Program › Execute in Background. Find the result in SM37 (your jobs) and the output in the spool (SP02). Your screen stays free.

💡 Ask your SAP team to schedule your variant as a periodic background job with the output emailed to you, and the report waits in your inbox every Monday.

Where beginners go wrong

Mistake Result
Leaving fields wide open Very slow reports, timeouts
Fixed dates in variants Old periods reported by mistake

Transaction codes and menus are standard SAP ECC/S4HANA examples; your company may have custom codes, restricted authorisations or a different layout. Practise in a training or quality system.
