
Most inboxes are noisy because everything lands in one place. Outlook can sort, file and flag mail for you — once you tell it how.

1. Rules: automatic sorting
Home → Rules → Manage Rules & Alerts → New Rule. Good rules to start with:

💡 Order matters: rules run top to bottom. Tick stop processing more rules on specific rules so a mail from your boss is not later moved by a general “CC” rule.
2. Quick Steps: one click for repeated actions
Home → Quick Steps → Create New. Examples:
- Done: mark as read + move to Archive.
- Forward to team: forward to a group with a standard note.
- Waiting for reply: flag for follow-up in 3 days + move to Waiting.
Assign Ctrl+Shift+1…9 so they work from the keyboard.
3. Search like a pro

4. Delay and schedule sending
- Per message: Options → Delay Delivery (send tomorrow 9 am).
- Safety net: a rule “apply to all messages I send → defer delivery by 1 minute” gives you a minute to catch mistakes.
