One strong picture beats a paragraph, but a blurry clip-art image stretched across a slide does the opposite. A few techniques make images look intentional.
Find images
- Insert › Pictures › Stock Images (Microsoft 365): free photos, icons, illustrations, no attribution worries.
- Insert › Icons: simple line icons that recolour to match your theme.
- Your own photos: real products and real office pictures beat stock for credibility.
Crop and fill
- Picture Format › Crop: drag black handles to trim; drag the picture to reposition inside the crop.
- Crop › Fill makes the picture fill a placeholder without stretching.
- Crop › Crop to Shape for circles (team photos) and rounded rectangles.
- Full-bleed: a photo covering the whole slide with a short title on a semi-transparent shape is the most striking layout there is.
Remove background
Picture Format › Remove Background cuts out a product from a plain background. Mark areas to keep or remove, then Keep Changes.
Designer
Design › Designer (Microsoft 365) suggests layouts when you add pictures or lists. Pick one that fits, or close the pane. Good for quick starts; still check text size and that it matches your other slides.
Line things up
- Smart guides (red dashed lines) appear as you drag; snap to them.
- Select several objects › Shape Format › Align › Align Top / Distribute Horizontally.
- Group (Ctrl+G) keeps icons and labels together.
Keep file size small
Picture Format › Compress Pictures, untick “Apply only to this picture”, choose Web (150 ppi), tick Delete cropped areas. Decks often shrink from 80 MB to 8 MB.
Alt text
Right-click › View Alt Text: a one-line description for screen readers. Mark purely decorative images as decorative.
Where beginners go wrong
