Accessible decks are also easier for everyone: clear titles, logical order, readable contrast. PowerPoint checks most of it for you.

Accessibility Checker

Review > Check Accessibility. Fix Errors first, then Warnings. The usual list:

  • Missing alt text: right-click picture or chart > View Alt Text. Say what it shows and why it matters (“Column chart: South achieved 121% of target, East 63%”), not “chart”.
  • Missing or duplicate slide titles: every slide needs a unique title, even if you hide it (move it off-slide) for design.
  • Reading order: Review > Check Accessibility > Reading Order pane. Screen readers follow this, not what you see.
  • Low contrast: light grey on white fails. Aim for dark text on light backgrounds.
πŸ’‘ Mark purely decorative shapes as Decorative (in the alt text pane) so screen readers skip them.

Recording a presentation? Slide Show > Record, then export as video and add captions, or turn on live subtitles (Slide Show > Subtitle Settings) while presenting.

Practice

Download the practice deck: the first slide lists the tasks.
