Watch someone format a long report: select a heading, make it bold, 14 pt, blue; next heading, same again; then the boss wants headings green and they do it forty times. Styles fix this. A style is a named set of formatting (font, size, colour, spacing). Apply it to text, and when you change the style, every piece of text using it changes at once.

Where styles live

The Home tab has a Styles gallery: Normal, Heading 1, Heading 2, Title and more. Click in a paragraph and click a style to apply it. The small arrow at the bottom-right of the Styles group opens the Styles pane (Alt+Ctrl+Shift+S) with the full list.

Change a style, change everything

Right-click Heading 1 in the gallery β€Ί Modify. Set font, size, colour; click Format β€Ί Paragraph for spacing before and after. OK, and every Heading 1 in the document updates. Tick New documents based on this template only if you want this look in every new file.

πŸ’‘ Fastest way to modify: format one heading exactly how you like it, then right-click its style in the gallery and choose “Update Heading 1 to Match Selection”.

Fix the Normal style first

Every other style is built on Normal. Set it once: your font (Calibri, Aptos or Arial, 11 pt), line spacing 1.15, 8 pt after each paragraph. Now you never need blank lines between paragraphs; the spacing does it.

Clear manual formatting

Text formatted by hand ignores style changes. Select it and press Ctrl+Space (clears character formatting like bold and size) and Ctrl+Q (clears paragraph formatting like indents). Then apply the right style. In documents pasted from email or websites, select all (Ctrl+A) and do this first.

Why styles matter beyond looks

  • Headings feed the table of contents and the Navigation Pane (Lesson 2).
  • Screen readers use them, so documents are accessible.
  • PDF exports turn headings into bookmarks (Lesson 10).
  • Style sets (Design β€Ί Document Formatting) restyle the whole document in one click, but only if you used styles.
