Lining up columns with spaces or tabs falls apart the moment a number gets longer. Word tables keep everything aligned and look professional with one click of a style. They’re also the right way to lay out forms, price lists and comparison grids.

Insert a table

  • Insert › Table and drag over the grid for the size you want.
  • Press Tab to move to the next cell; Tab in the last cell adds a new row.
  • Already have text separated by tabs or commas? Select it, Insert › Table › Convert Text to Table.

Make it look good

Click in the table: two tabs appear, Table Design and Layout.

  • Table Styles: pick a light style. Tick Header Row and Banded Rows.
  • AutoFit (Layout › AutoFit › AutoFit Contents, then AutoFit Window) for sensible column widths.
  • Right-align number columns (Ctrl+R) so digits line up.
  • Repeat Header Rows (Layout tab): for long tables, the header appears on every page.

Rows, columns, merging

Right-click › Insert rows or columns above/below/left/right. Merge Cells joins selected cells (for a title across the table); Split Cells divides one. Hover between rows on the left edge and click the ⊕ to insert a row there.

Simple maths in Word tables

Click in the total cell, Layout › Formula: =SUM(ABOVE) adds the numbers above. Also =SUM(LEFT), =AVERAGE(ABOVE). Choose a number format like #,##0.

⚠️ Word formulas don’t recalculate automatically. After changing numbers, select the table and press F9. For anything more than a total, build it in Excel and paste it in.

Sort a table

Layout › Sort: choose the column, type (Number, Text, Date) and direction. Tick My list has header row.

Tables for layout

Forms (Name: ____ Date: ____) line up perfectly in a table with borders turned off (Table Design › Borders › No Border; View Gridlines shows the outline while editing).
