“First we approve the budget, then sign the lease, then hire, then open” is a process. Shown as four boxes with arrows, people grasp the sequence instantly. SmartArt makes these diagrams in seconds and keeps them neat when you edit text.
Bullets to SmartArt in one click
Click in a bulleted list › Home › Convert to SmartArt. Hover over the options to preview; More SmartArt Graphics shows all types.
| Type | Use for |
|---|---|
| Process | Steps in order, timelines |
| Cycle | Repeating processes (monthly close) |
| Hierarchy | Org charts, reporting lines |
| List | Grouped points in boxes |
| Relationship | Overlaps (Venn), balance, funnel |
| Matrix | 2×2 grids |
Edit it
- The Text Pane (arrow on the left edge) is a bullet list: Enter adds a shape, Tab demotes to a sub-point.
- SmartArt Design › Change Colors uses your theme colours; SmartArt Styles changes the look (keep it flat, skip 3D).
- Change Layout swaps diagram type and keeps your text.
When you need full control
SmartArt Design › Convert › Convert to Shapes turns it into ordinary grouped shapes you can move and resize freely. It’s no longer SmartArt, so do this last.
Draw your own
Simple diagrams with shapes and connectors: Insert › Shapes, use Elbow Connector lines that stick to shapes when moved, align and distribute (Lesson 3). An org chart for 60 people is better built in Visio or a dedicated tool.
Where beginners go wrong
| Mistake | Fix |
|---|---|
| Long sentences in tiny boxes | 2-5 words per shape |
| Rainbow colours | One colour family from the theme |
| Process diagram for things that aren’t steps | Use a List layout |
| Converted to shapes too early | Edit text first, convert at the end |
